Getting Started

Creating Your Account

ChronoZen supports multiple sign-in methods:

  • Email/Password: Create an account with a strong password (12+ characters)
  • Google: Sign in with your Google account
  • GitHub: Sign in with your GitHub account
  • GitLab: Sign in with your GitLab account

Creating Your First Project

Projects are the foundation of task and time tracking in ChronoZen:

  1. Navigate to the Projects page
  2. Click the "Create Project" button
  3. Enter a project name and optional description
  4. Set a budget and hourly rate (optional, for cost tracking)
  5. Choose a color to visually identify the project
  6. Click "Create" to save

Space Context: Projects are created in your current space - Personal or a shared Space.

Using the Timer

The timer is always visible in the navbar:

  1. Click the play button in the timer widget
  2. Enter a task description
  3. Select a project from the dropdown
  4. Click "Start" to begin tracking
  5. Click "Stop" when finished - a completed task is automatically created

Spaces

What are Spaces?

Spaces are workspaces that organize your projects. You have a Personal space by default, and can create shared Spaces for collaboration.

Creating a Space

Space creation requires a Paid or Pro subscription:

  1. Go to the Spaces page
  2. Click "Create Space"
  3. Select a template to get suggested tags
  4. Enter a space name and description
  5. Set a budget (optional)
  6. Click "Create"

ChronoZen offers 24 templates with suggested tags:

Space Members

  • Leaders: Can manage space settings, add/remove members, and assign permissions
  • Members: Can view and contribute to space projects based on permissions
  • Permissions: Control who can create projects, view all entries, access dashboards, and export data

Space Budget

Each space can have an optional budget. The budget usage is displayed in the Projects tab, showing how much of the space budget is allocated across projects.

Space Limits

  • Free: Cannot create spaces (Personal only)
  • Paid: 1 space with up to 4 members
  • Pro: Unlimited spaces and members

Projects

Project Management

  • Status: Projects can be Active, Completed, or Archived
  • Estimated Hours: Set time estimates for the project
  • Project Budget: Set project budgets to track costs
  • Hourly Rate: Set rates for time-based billing
  • Colors: Assign unique colors to visually organize projects
  • Space Badges: Projects display space badges showing which space they belong to

Budget Tracking

When creating or editing a project, you'll see a budget breakdown:

  • Space Budget: Total budget for the space
  • Other Projects: Budget used by other projects
  • This Project: Budget for the current project
  • Remaining: Available budget

The progress bar shows usage: ๐ŸŸข Green (<80%), ๐ŸŸก Amber (80-100%), ๐Ÿ”ด Red (over budget)

Project Limits

  • Free: 1 project
  • Paid: 3 projects
  • Pro: Unlimited projects

Task Management & Kanban Board

Creating Tasks

There are multiple ways to create tasks:

  • From Calendar: Click a day to open the day modal, then "Add Task" (due date pre-filled)
  • From Kanban Board: Click "+" in any column (status pre-filled)
  • From Navbar: Click "+ Add Task" button
  • From Timer: Stop the timer to create a completed task automatically

Task Fields

  • Title & Description: What the task is about
  • Space: Select Personal or a Space you belong to
  • Project: Choose from available projects in the space
  • Status: Backlog, Planned, In Progress, Review, Completed, Cancelled
  • Priority: Low, Medium, High, Urgent
  • Due Date: When the task should be completed
  • Estimated Hours: Time estimate
  • Budget/Cost: Fixed cost for the task
  • Tags: Categorize with emoji tags (suggested based on space template)

Kanban Workflow

Tasks flow through a 6-stage kanban board:

Drag & Drop

  • Drag cards between columns to change status
  • Smooth animations with instant feedback
  • If a task without a due date is moved to planning columns, you'll see a reminder
  • Optimistic updates - changes appear immediately

Mobile View

  • Tab Navigation: Tap tabs to switch between columns
  • Quick Status Buttons: โ–ถ๏ธ Start, ๐Ÿ‘€ Review, โœ“ Done
  • Floating Action Button: Create tasks in the active column

Task Cards Display

  • Project name badge with color indicator
  • Priority shown as colored left border
  • Tags displayed with emojis
  • Due date and estimated hours
  • Budget/cost if set

Calendar

Calendar View

The calendar shows your tasks organized by date with visual indicators.

Task Dots

  • โ— Circles: Personal project tasks
  • โ–  Squares: Space project tasks
  • Colors: Match project colors
  • Multiple dots: Multiple projects have tasks on that day

Interactions

  • Click a day: Opens day modal showing all tasks
  • Click "Add Task": Creates task with due date pre-filled
  • Click a task: Opens task edit modal
  • Hover on dots: See tooltip with project name and task count

Today's Summary

Overview

The Today's Summary widget on your dashboard shows your daily overview:

  • Completed Tasks: Tasks finished today
  • Pending Tasks: Tasks due today not yet completed
  • Total Hours: Sum of estimated hours for today's tasks

Budget Display

Budget is split into two categories:

  • ๐Ÿ’œ Billable: Hourly rate ร— hours (from project hourly rate)
  • ๐Ÿ’™ Fixed Costs: Task budgets (fixed costs per task)

Task List

Shows today's tasks with completion status. Completed tasks have a strikethrough. Click any task to edit it.

Timer

Timer Widget

The timer is always visible in the navigation bar, allowing you to track time from anywhere in the app.

Starting the Timer

  1. Click the play button โ–ถ๏ธ
  2. Enter a task description
  3. Select a project
  4. Click "Start"

Timer Features

  • Real-time tracking: Uses Web Worker for accuracy
  • Pause/Resume: Pause and resume without losing progress
  • Persists: Timer continues across page navigation

Stopping the Timer

When you stop the timer, a completed task is automatically created with:

  • Title: Your task description
  • Status: Completed
  • Estimated Hours: Timer duration
  • Due Date: Today

Activity Dashboard

Stats Cards

  • This Week: Tasks completed and hours this week
  • Pending: Outstanding tasks and overdue count
  • Streak: Consecutive days with completed tasks
  • All Time: Total completed tasks
  • Top Project: Project with most activity

Filters & Search

  • Search: Find tasks by title
  • Type Filter: All, Tasks, Done, Pending
  • Date Filter: Today, This Week, This Month, All Time

Charts

  • Weekly Activity: Hours per day bar chart
  • Project Distribution: Pie chart of task distribution

Click the chart toggle button to show/hide charts.
